At Emily Edgar Photography, I take your privacy seriously. This policy explains how I collect, use, and store your personal information in line with UK GDPR and the Data Protection Act 2018.
Privacy at a Glance
I only collect the information I need to respond to your enquiry, manage your booking, and deliver your images. Your data is stored securely, shared with third parties only when necessary, and never used for marketing without your permission. You can see the full policy below and update or delete your information anytime.
1. Enquiries
When you contact me via email, website form, or social media:
I use the information you provide to respond to your enquiry.
I aim to respond within 24 hours and may follow up as appropriate to check in.
If I don’t hear from you, your information is deleted from my system.
If you book with me, your data will be retained only for the duration of our agreement and deleted once all obligations are complete.
2. Information I Collect
When you make an enquiry, book a session, or purchase products, I may collect:
Your name and contact details (email, phone number)
Information about your shoot or wedding (venue, date, suppliers, etc.)
Your home address for prints or products
You may visit my website anonymously. Any information you provide is used solely to provide services or respond to your request.
3. Website Analytics & Cookies
I use cookies and analytics to improve your experience:
Necessary cookies: Enable website functionality, like accessing secure areas.
Performance & analytical cookies: Help me monitor website use via Google Analytics (anonymous data).
Facebook Pixel: Used to create marketing profiles and understand the type of clients I work with.
You can withdraw consent for cookies at any time via your browser settings. By using my website, you agree to the use of these cookies.
4. Legal Basis for Processing
I process your information based on:
Consent: When you provide your email, phone, or other details to request information or newsletters.
Legitimate interests: To operate and manage my website and provide my photography services.

5. How I Store Your Data
Personal data is stored securely on encrypted, password-protected devices and databases.
Any online storage is secured behind strong passwords.
Data may be shared with third-party providers (printers, Pixieset galleries, blogs) only for the purpose of providing services to you, and only if they are GDPR-compliant.
Some third-party providers may store data outside the UK/EEA (e.g., Pixieset). By submitting your information, you consent to this transfer.
5. Photographs & Access
During shoots, photographs are captured on secure memory cards. After shoots, the files are copied to two hard drives for editing and processing.
Edited images are delivered via a password-protected online gallery (Pixieset), which is removed one year after delivery. SD cards are deleted once images are delivered. I retain copies on my secure hard drives for my records. While I take care to back up my portfolio, re-delivery of images after one year cannot be guaranteed, so it’s important that you keep your own copies. You will be notified when Pixieset galleries are scheduled for deletion so you can download and back up your files.
Use of AI Tools:
I sometimes use AI-based software to enhance image quality, such as improving slightly blurry shots or removing small distractions. All AI processing is done locally on my secure devices and is never shared with third-party AI services, ensuring your images remain private and secure. AI is only used to improve quality; photographs are never altered in a way that misrepresents you, and all processing complies with UK GDPR and this privacy policy.
Portfolio & Marketing:
Selected images from sessions may be shown privately to couples who enquire during introductory video calls (via Google Meet). Files will not be shared on social media, websites, or with other clients without your explicit permission. Any marketing use, blog submissions, or public sharing will only occur with consent, and you may withdraw consent at any time.
7. Your Rights
Under UK GDPR, you have the right to:
Access: Request a report of the personal data I hold about you.
Rectification: Ask me to correct any inaccurate or incomplete data.
Deletion: Request that your personal data be deleted. Note that deletion means I will not retain backup copies of your images, so ensure you have downloaded them first.
Withdraw consent: For marketing or cookies.
