FOR EMILY EDGAR PHOTOGRAPHY
Effective Date: 4 January 2026
By booking Emily Edgar Photography, you agree to these Terms & Conditions. Your signed agreement references these T&Cs, which form the full understanding of your booking.
Terms at a glance
By booking, you confirm that you:
Understand all images remain the property of the photographer.
Agree to the deposit and payment terms in your agreement/invoice.
Accept that images are stored, delivered via secure gallery, and deleted according to policy.
Consent to AI tools being used only to improve image quality, never to misrepresent.
Allow selected images to be shown privately to prospective clients unless you opt out.
Understand that all sessions are subject to cooperation, safety, and weather considerations.
Agree that retouching is natural and does not alter permanent features.
Accept responsibility for backing up images after gallery deletion.

1. Booking & Deposit
A signed agreement and non-refundable 25% deposit are required to secure your date.
The remaining balance is due before the shoot or wedding, as stated on your invoice.
Prices are subject to change without notice.
Booking a session confirms that all parties have read and understood these terms.
2. Copyright & Use
All images remain the property of Emily Edgar Photography.
Clients receive personal use rights only.
Copying, selling, or reproducing images without written permission is prohibited.
RAW/negative/digital files are never shared with clients.
3. Gallery Access & Image Storage
Edited images are delivered via password-protected online gallery (Pixieset).
Galleries are removed one year after delivery, and SD cards are deleted once images are delivered.
Hard drive backups may be kept for portfolio purposes, but re-delivery after one year is not guaranteed.
Clients will be notified prior to gallery deletion to download and back up images.
Clients are responsible for their own backups after gallery deletion.
4. Use of AI Tools
AI-based software may be used only to enhance image quality, e.g., correcting minor blur or removing small distractions.
All AI processing is performed locally on secure devices and is never shared with third-party AI services.
Images are never altered to misrepresent clients.
5. Portfolio & Marketing
Selected images may be shown privately to prospective clients during introductory calls (Google Meet).
No images will be shared publicly without explicit consent.
Clients may withdraw consent for marketing use at any time.
6. Client Responsibilities
Clients must be at least 18 years old.
Under 18s require a signed parental/guardian consent form.
Clients are responsible for ensuring all participants cooperate during sessions.
7. Session Conduct & Safety
Emily Edgar Photography may terminate a session if unsafe, threatening, or inappropriate behaviour occurs.
Sessions over 6 hours include one 20-minute rest break; the timing will be chosen to minimise disruption.
8. Travel & Expenses
Travel is included within Sussex unless otherwise agreed.
Travel outside this area may incur additional costs, to be agreed in advance.
9. Force Majeure
Emily Edgar Photography is not liable for delays or cancellations caused by events beyond control, including extreme weather, illness, or other emergencies.
10. Retouching & Style
Natural retouching, colour grading, and finishing are included.
Digital manipulation altering body, facial features, props, or locations is not performed.
Images remain true to the moment and reflect Emily Edgar Photography’s documentary, inclusive style.
11. Delivery & Number of Images
The number of images delivered is an estimate, not a guarantee.
Extended access for online Galleries is available for £20 per 30 days.
12. Cancellations & Refunds
Clients may cancel in writing at any time, but deposits are non-refundable.
No refunds will be issued for changes of mind, weather, or circumstances beyond the photographer’s control.
13. Liability & Complaints
Liability is limited to the total value of the contract in case of failure or cancellation.
Complaints must be submitted in writing within 28 days of delivery.
14. Privacy & Data Protection
Client data is stored securely in line with UK GDPR.
Bank details are not stored; payments are via BACS (or PayPal for prints/products).
Client information is only shared with third parties necessary to fulfil the contract (printers, galleries, etc.).
